Program Policies & General Information

 

Registration

You are strongly encouraged to register early as space for MHCA programs may be limited. To register for an upcoming educational program, MHCA must receive a completed Registration/Invoice Form via regular mail, fax or an online registration form. Registrations cannot be accepted over the telephone. Full payment must be received at least 5 business days prior to the start date of the program to confirm your enrollment.

 

Tuition

Fees for programs may vary as they reflect specific costs for each program. MHCA strives to keep tuition fair, affordable and consistent. Payment is required at the time of registration or at least 5 business days prior to the start date of the program. Acceptable forms of payment include cash, checks and credit cards. For programs with limited enrollment, priority will be granted to paid participants.

Group Discount

If a facility is registering more than one (1) participant for the same educational program, a discount of $10.00 for each additional participant from the same facility may apply. Since fees vary based on the costs for each program, MHCA reserves the right to decide when group discounts can be offered. Group Discounts are not applicable to Certificate Courses. Note: Group discounts for the Fall Health Care Conference & Expo is applied differently; please refer to the conference registration packet for more information about group discounts for that event.

 

Confirmation Letters

With the exception of the Fall Health Care Conference & Expo, confirmation letters (including driving directions) are sent to all registrants approximately one week prior to the program. Anyone registering less than a week in advance may not receive written confirmation. However participants are always welcome to contact MHCA to verify registration.

 

Substitutions

If a registrant is unable to attend a program, a substitute from the same facility can register to take his/her place at no additional charge. If possible, MHCA would like to receive advanced notice of the substitution (including substitute’s name) however, walk-in substitutions are also accepted. Certificates of attendance for substitutes will not be available the day of the program.

 

Certificate of Attendance

A Certificate of Attendance will be provided to all paid participants at the end of each workshop. In the event that payment is not received by the due date, certificates will be mailed to attendees when payment has been received. Note: certificates for Personal Support Specialist (PSS) and Certified Residential Medication Aide (CRMA) courses are not issued by MHCA.

 

Continuing Education Units (CEUs)

When a program meets the appropriate criteria, Continuing Education Units (CEU’s) may be granted to participants as long as proof of attendance can be verified. MHCA retains on-site sign in sheets and other documentation for programs where CEUs are granted. In order to earn the number of CEUs a program is approved for, you must be present for the entire session. Partial CEUs will not be granted except for extenuating circumstances (for example, an administrator is called back to the facility because of survey). In this case, the attendee must notify a MHCA staff member at the point of departure so that a certificate with the appropriate number of CEUs can be issued.

 

Canceled Programs

MHCA reserves the right to cancel programs due to low enrollment or for other extenuating circumstances. Under normal conditions, if a program is canceled, registrants will be notified in advance by telephone, email or fax. In the event of inclement weather, the Director of Education will make a decision concerning cancellation by 6:00 AM on the day of the program. Participants are encouraged to contact MHCA at (207) 623-1146 for updated information about the status of a program. When a program is canceled, a full credit or refund will be granted to all registrants. If inclement weather prompts an early dismissal, the Director of Education in collaboration with the instructor will determine how the class will complete the necessary training in order to receive CEU credit.

 

Enrollment Caps

MHCA reserves the right to limit the number of participants for certain workshops. When enrollment is limited, registrations will be accepted based on a first come/first served basis with paid registrations having priority placement in the program.

 

Refunds

All cancellations must be submitted in writing. For General Seminars, a 100% credit/refund will be issued for cancellations received 5 days in advance of the program; cancellations received 1 to 4 days in advance will be charged a $25 late withdrawal fee; and no credit/refund will be issued for cancellations the day of the program (or no shows). For the Fall Conference and Leadership Symposium, a 100% credit/refund will be isued for cancellations received at least 10 days in advance of the program; otherwise no credit/refund will be granted. For Certificate Programs (CRMA, CRMA Recertification, PSS, ServSafe), a 100% credit/refund will be issued for cancellations received at least 5 business days in advance of the program; otherwise no credit/refund will be granted.
